Configuring your IVR Menus in the mobile app

Admins can add an IVR menu and configure all existing IVR Menus in the mobile app. You can also add and delete IVR Menus.

Adding an IVR menu

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap the plus button beside IVR Menus.

  1. Select the Site, enter the Extension Number, and Extension Name for the new IVR menu.

  1. Tap Save on the upper right.

Configuring Prompts

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. If you want to modify the prompt for your entire account, tap IVR > Prompts
  5. If you want to modify the prompt for every IVR Menu, select the extension and tap Prompt.
  6. Select how you want to modify your prompt.
  • Audio prompt: An existing audio prompt that you created on your online account.
  • Audio prompt over microphone: An existing custom prompt that you recorded using your online account.
  • Record Prompts: Record new prompts using your mobile.

Configuring IVR menu Extension Info

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a selected IVR menu you want to modify.
  5. Tap Extension Info.
  6. Modify the information for the IVR menu:

  • Extension Number: Number of the extension.
  • Extension Name: Provide a name for the extension.
  • Site: Choose the office location of the extension.
  • Language: Select the language of the extension.

Configuring IVR menu Direct Numbers

Admins can add a Direct Number by logging in to your online account. You can only view the Direct Numbers assigned to the extension.
  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on the selected IVR menu you want to manage.
  5. Tap Direct Numbers.
  6. Tap on the direct number to modify the following:

  • Number: View the phone number assigned to the IVR menu.
  • Name: Type the name of the direct number.
  • Number Type: Choose between Voice and Fax or Voice.
  • Site: Where the IVR menu is located. This cannot be configured in the mobile app.
  • Call to this number will be connected to: Choose where calls made on the number will be routed.
  • Select extension: Select the IVR menu for the direct number.

Configuring IVR menu Call Handling

Admins can also modify the Call Handling settings for every IVR Menu.
  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a selected IVR menu you want to manage.
  5. Tap Call Handling to modify the IVR menu’s call handling settings.
  • Key Presses: Choose what happens when a caller presses a selected number while connecting to the extension.
  • Generic Key Presses: Choose which call handling settings you want to use. Select Use default settings if you want to use your company’s General IVR Settings. Select Specify to modify the IVR menu’s key press settings.

  1. Navigate to Admin tools > Phone System.
  2. Tap Groups.
  3. Tap the selected extension under IVR Menus.
  4. Tap Call Handling.
  5. Tap Add Key button.
  6. Select your Key press assignment settings.
  1. Tap Save in the upper right corner.

Deleting IVR Menu

Admins can delete IVR menus in their mobile app.
  1. Navigate to Admin tools > Phone System.
  2. Tap Groups.
  3. Tap the selected extension under IVR Menus.
  4. Tap Extension Info.
  5. Tap the Delete Menu button.
  6. Tap Ok on the deletion prompt.
