Configuring Shared Lines in the mobile app

The Shared Lines feature allows calls made to one phone number to be answered by multiple phone devices. Answered calls can be handed off to other phones sharing the same phone number. This feature is a commonly required function in many industries, such as retail, restaurant, warehouse, etc. Visit Shared Lines Overview for more information.

Admins can configure existing Shared Lines in the mobile app. Adding another shared line can only be done by signing into your online account.

Configuring Shared Lines Info

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a shared line you want to manage.
  5. Tap Info to view and modify the following:
  • Extension Number: Enter the assigned extension number for the shared line.
  • Group Name: Enter the name for the shared line.
  • Record Group Name: Choose the way your shared line’s name will be mentioned during a greeting.
  • Email: The email assigned to the shared line.
  • Site: The location of the shared line.
  • Business Hours: The operating hours assigned to the shared line.
  • Regional Settings: Choose your Time Zone, Time Format, Home Country, User Language, Greetings Language, and Regional Format.
  • Status: Check if your shared line is Activated or Not Activated.

Finding your Phones & Lines

Admins can only view the phones and lines connected to a shared line. To configure the phones and lines of your Shared Lines, sign in to your online account.
  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a shared line you want to manage.
  5. Tap Phones and Lines.
Announcement-only extension settings

Finding your Direct Numbers

Admins can only view Direct Numbers assigned to a Shared Line extension. To add a Direct Number, sign in to your online account.
  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a shared line you want to manage.
  5. Tap Direct Numbers.

Configuring greeting settings during and after business hours

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a shared line you want to manage.
  5. Tap Greeting & Blocked Calls to modify your Group Greeting and Hold music for Business Hours and After Hours.

Configuring Blocked Calls

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap Greeting & Blocked Calls > Blocked Calls.
  5. Under Blocked Calls, you can modify the following settings:
  • Block calls: Choose to block All calls or Specific calls
  • Only block these numbers or area codes: Choose to block specific numbers and the message blocked callers will hear.
  • Block calls and faxes with no Caller ID: Choose to block calls or faxes from callers that do not have Caller IDs.
  • Calls from Pay Phones: Choose to block calls from Pay Phones and the message blocked callers will hear.

Configuring Call Handling

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a shared line you want to manage.
  5. Tap Call Handling.
  1. Under Call Handling, you can modify the settings for your Business HoursAfter Hours, or through Custom Rules.

Configuring Outbound Caller ID

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a shared line you want to manage.
  5. Tap Outbound Caller ID to modify your settings.
  • Group: Use the company’s Main Number as the shared line’s outbound caller ID.
  • Individual Lines: Use the shared line’s number as the outbound caller ID.
  • Main Number: Displays the number that will be used as the line’s outbound caller ID. Alternatively, if you choose Individual Lines, the number of the shared line will be displayed.
  • Alternate Caller ID: Choose whether to use your Main Number, Phone Line, or Not specified Caller ID.
  1. Tap Save on the upper right.

Configuring Messages & Notifications

  1. Navigate to Admin tools.
  2. Tap Phone System.
  3. Tap Groups.
  4. Tap on a shared line you want to manage.
  5. Tap Messages & Notifications.
  6. Under Messages & Notifications, you can modify how you want to receive messages and notifications during your Business Hours and After Hours.
  • Take Messages: Toggle on or off whether you want to receive messages during business hours or after hours.
  • Voicemail Greeting: Set a voicemail greeting when calls made to the shared line are routed to voicemail.
  • Message Recipient: Select the extension where calls will be routed.
  • Voicemail Preview: Enable or disable voicemail of the user.
  1. Tap Notifications to modify the user’s notification settings.
  2. Toggle on or off to enable how you want to be notified messages and notifications.
  1. Tap Save on the upper right.
